MICE & Group Travel to Thailand: A Planning Checklist for Agents
Corporate incentive trips, conferences, and large groups are some of the most rewarding bookings an agent can land — but they also carry more moving parts than a standard FIT itinerary. Missing even one detail can turn a smooth group trip into a logistical headache. Here's a practical checklist to work through before you quote.
1. Confirm the real group size and structure
Get an accurate headcount early, including any variance (some attendees confirming late). Ask whether the group is a single unit throughout, or splits into sub-groups for different activities — this changes transport and venue needs significantly.
2. Lock the purpose of the trip
A pure incentive/reward trip, a working conference, or a hybrid (half business, half leisure) each need different planning. A conference needs AV-equipped meeting space and a structured agenda; an incentive trip needs more experiential activities and free time built in.
3. Venue and accommodation
For groups above 20–30 pax, availability at popular hotels can be tight in peak season — this needs to be locked early, not left until a month before travel. Confirm whether the group needs to stay together in one property or can split across two.
4. Ground transport and logistics
Large groups need coordinated transfers, not just individual cars — confirm coach or multi-vehicle capacity in advance, and always build in buffer time for group movement, since large groups move slower than individual travelers.
5. Team activities and gala requirements
If the trip includes team-building activities or a gala dinner, these often need separate venue sourcing, catering coordination (including any dietary requirements common with Indian groups), and sometimes entertainment or decor vendors — all of which need lead time.
6. Budget clarity upfront
Get a clear per-person budget range from your client before requesting a DMC quote — this avoids multiple rounds of re-quoting and helps your DMC partner build the right proposal the first time.
7. A single point of coordination
For groups, work with a DMC that has a dedicated group/MICE desk rather than routing your request through general inquiries — this ensures faster turnaround and someone who's actually tracking every moving piece of your specific group.
